ABOUT THE OPPORTUNITY

We are seeking an experienced and driven Senior Design Project Manager to oversee complex design projects from initiation to successful completion. This role will be instrumental in improving project delivery, optimising resource allocation, and enhancing collaboration across design teams and stakeholders. The ideal candidate will bring strategic project management skills, the ability to manage cross-functional teams and freelancers, and a strong focus on process improvement and client satisfaction.

The Design team is composed of 12 members and is additionally supported by a network of freelancers. This new position has been established to meet growing company demands and to provide essential support to the Chief Experience and Design Officer, whose expanded role now encompasses both external and internal customer experience

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

Process Improvement & Impact

  • Collaborate with the Chief Experience & Design Officer to plan and implement effective project management strategies to enhance the quality of event and delegate experiences across our growing event portfolio.
  • Manage, coordinate and oversee project management tools to improve event design and branding output for all our events.
  • Collaborate with relevant teams like Events, Customer Success and Sales to support the implementation of an event blueprint and framework to improve team efficiency and the successful delivery of our event portfolio products.

Stakeholder Engagement & Communication

  • Act as the primary liaison for stakeholders, delivering clear, concise updates on project status, emerging risks, and approved scope changes.
  • Foster productive relationships with clients and internal teams, ensuring alignment and open communication throughout the project lifecycle.

Strategic Project Planning & Execution

  • Develop and implement project strategies grounded in a comprehensive understanding of project requirements, objectives, and deliverables.
  • Conduct thorough analysis and refinement of design briefs, collaborating with stakeholders to clarify and enhance project scope and details as needed.
  • Craft detailed  project plans, workback schedules, and timelines to drive alignment and efficiency across all phases of delivery.

Resource & Schedule Optimization

  • Prioritise and allocate design tasks in partnership with department managers and cross-functional leads to ensure timely and effective delivery.
  • Oversee project resources, balancing budgets, scope, and timelines with business and client needs.

Risk Management & Mitigation

  • Proactively identify and manage risks and potential bottlenecks, escalating critical issues for swift resolution.
  • Adjust project strategies and update impacted stakeholders to maintain schedule and scope integrity as project conditions evolve.

Cross-Functional Collaboration

  • Champion collaboration across diverse teams and stakeholders, including external freelancers, ensuring alignment with project goals and quality expectations.
  • Coordinate effectively with external design resources to extend project capabilities and maintain delivery standards.

Quality Assurance & Change Management

  • Lead quality assurance efforts to ensure design materials meet the highest standards before handover.
  • Oversee the change management process, assessing impact and securing approvals to safeguard project scope and timeline.
  • Facilitate post-project reviews to capture best practices, lessons learned, and opportunities for process improvement.

Performance Tracking & Reporting

  • Monitor and report on key project metrics, including progress, turnaround times, and potential roadblocks.
  • Maintain comprehensive project documentation for performance tracking, audit purposes, and future project reference.

Industry Knowledge

  • Serve as a subject matter expert, advising on best practices, emerging trends, and innovative tools to optimise project outcomes.
  • Invest in professional growth through continued learning, skill development, and active participation in industry events.

ABOUT YOU

Experience:

 Minimum of 7 years in project management within a design or creative-focused environment, with a proven track record of delivering complex projects on time and within budget.

Technical Skills: 

Proficient in project management software ( such as Asana). Familiarity with design tools and collaboration platforms (e.g., Adobe Creative Cloud, Figma, Miro) is highly desirable.

Communication and Leadership: 

Strong interpersonal and communication skills, with experience in managing stakeholder expectations and facilitating effective team collaboration. Ability to inspire teams, fostering a positive and productive work environment.

Strategic and Analytical Mindset:

 Adept at solving problems, identifying project risks, and making strategic adjustments to keep projects aligned with objectives.

Industry Knowledge: 

In-depth understanding of design project workflows, including experience coordinating with freelancers and external vendors to deliver creative assets. Knowledge of industry best practices in design and creative production processes.


It would be nice if you have:
